Four possible issues to watch out for with your business phone system


Whatever kind of business you are, the chances are you will have a phone system of one kind or another. Whether it’s for internal calls, making and receiving sales calls and having calls with existing clients and customers. Generally speaking, whatever kind of phone system you have, general wear and tear is always going to happen, and parts need to be updated or replaced, and there are a few issues that can, and will, arise however much you look after it.

By planning ahead and being prepared for these issues (and knowing how to resolve them), you can stop your business being affected.

Outdated Phone System (Hardware)

Whatever phone system you have, there will always be a point down the line whereby your phone system is not the most up-to-date one going, and will be taken over by newer ones in terms of the technology available, features and how efficient they are.

So how can you get the balance between not spending out before you need to, and not being left behind when it comes to the latest technology?

New releases offer greater functionality and allow better integration with 3rd party platform software, so it pays to keep an eye on what’s out there (your account manager should be able to advise you, and give you a regular list of suitable products so you can make a decision as and when you need to). By doing this you can make sure your phone system continues to integrate with ever improving software from third party platforms. We liken this to the equivalent of booking your car in for a service – by doing so regularly keeps your communications running smoothly with no major hiccups down the road.

Slow Business Growth

The most successful businesses are always growing (including yours!). You may start out as a one-man-band, or a small team, but one day you may outgrow your current office space and/or have a budget increase to spend on better communications equipment. Increased call numbers, a bigger focus on video, con calls, team working and flexibility, means you need to ensure that your phone systems can handle any expansion, and budget for this accordingly.

Telephone systems, and increasingly, cloud solutions, are at the centre of many businesses, but are often an area that is given little after thought as to the difference they truly make. If you don’t update your system to reflect any business expansion, you will find your business growth is hindered massively before too long.

Limited Features

If your business communications systems have come this far  successfully with only limited features, you may think why would you bother now? As explained above, business expansion is complimented by increased/improved levels of communications and phone systems, especially if you take on more staff. Think: features such as mobile apps, multi-site integrations, auto-attendants, call recording, click-to-dial functions and general call management products may be of interest to growing businesses; but does your current system support these added options?

Your Phone Lines Are at Capacity

Business is going great and you’ve decided to expand your team. There’s one problem though: you’re at full capacity with regards to the amount of phone lines your system can take in. By foreseeing this you can ensure you have a phone system that can grow with your business, has possibly more features and you get a highly efficient business that keeps on growing.


If your business relies heavily on a phone system for everyday use, don’t bury your head in the sand when it comes to ensuring you have the best one for it and any potential growth. Being prepared for the above inevitable problems will minimise the risk of your communications becoming an unexpected hindrance, and possibly quickly costing you in clients and money.
